Acceptable Use Policy
Effective: 30 October 2026
Last updated: 30 October 2026
Version: 1.1
1. Introduction and scope
This Acceptable Use Policy (the "Policy") sets out the rules that apply to your use of the Products and of Sysplore Cloud. It applies to you and to every person who accesses a Service through your account, including access obtained through a third party identity provider, and it forms part of our Terms of Service.
This Policy does not apply to our Professional Services, which are governed by the contract under which they are supplied.
2. Definitions
In this Policy:
- "Products" means Sysplore Mail and Sysplore Workspace, each supplied under its own subscription.
- "Service" means, as the context requires, a Product or Sysplore Cloud.
- "Sysplore Cloud" means the hosting platform operated at sysplore.cloud.
- "Terms" means our Terms of Service.
3. Account security
You are responsible for all activity that occurs under your account. You must keep your credentials confidential, and you must ensure that everyone who accesses a Service through your account complies with this Policy.
You must take reasonable steps to keep your account secure, including using strong and unique passwords, enabling multi factor authentication where it is available, applying software updates and security patches promptly, removing default credentials, applying the principle of least privilege, and keeping independent backups of your own data. Application programming interface tokens, private keys and other credentials must be stored securely and must not be embedded in public code repositories.
4. Prohibited conduct
The following conduct is prohibited in relation to any Service:
- using a Service for any unlawful purpose, or in breach of any applicable law, regulation, sanctions regime or court order;
- hosting, transmitting, publishing or distributing material that is unlawful, or that infringes the intellectual property, privacy or publicity rights of any person;
- hosting, distributing or executing malware, viruses, ransomware, spyware, adware, or operating a botnet or command and control infrastructure;
- conducting denial of service attacks, port scanning, network reconnaissance, or any other activity directed at a system or network without authorization;
- attempting to access, probe, scan, penetrate or test our infrastructure, our management network, our billing system or any system outside the environment allocated to you, without our prior written consent;
- sending unsolicited communications, phishing messages or other communications intended to deceive;
- harassing, threatening, defaming or discriminating against any person;
- using a Service in a manner that damages, disables, overburdens or impairs the Service, or that interferes with any other customer's use of the Service;
- operating any service that can be used to amplify or reflect attack traffic against a third party;
- mining cryptocurrency without our prior written consent;
- circumventing, removing or interfering with any security control, resource limit or quota applied to your account.
Additional prohibitions apply under section 18 of the Terms of Service, including prohibitions on reverse engineering, on reselling, and on circumventing a limit or quota.
5. Additional rules for Sysplore Cloud
In addition to section 4:
- you may operate your own virtual private network or proxy for your own use, but you may not operate a proxy or virtual private network service that conceals the abusive traffic of any third party;
- you must not operate an open mail relay or an open recursive domain name system resolver;
- you must not remove, disable or interfere with any software we install in order to operate the platform;
- you must remain within the resources allocated to your plan, and must not circumvent any limit or quota;
- you must not run any workload that degrades the performance of another customer's service;
- resources are billed for the time they exist on your account, whether or not they are running, and you must delete a resource to stop the charges for it.
6. Additional rules for Sysplore Mail
In addition to section 4:
- the Service is intended for person to person correspondence and for transactional mail sent by your own systems to your own users. You must not send unsolicited bulk mail or marketing mail, use purchased lists, or conduct cold outreach at volume;
- you must not send mail without valid consent where the law requires it;
- you must maintain proper sender identification, including Sender Policy Framework, DomainKeys Identified Mail and Domain-based Message Authentication Reporting and Conformance records;
- you must include a working unsubscribe mechanism in any mail you are permitted to send;
- you must not spoof a domain or an email address that you do not own or control;
- you must observe the sending limits applicable to your plan, as published on the Sysplore Mail page;
- you must comply with the CAN SPAM Act and with the equivalent rules applicable in the jurisdiction of your recipients.
Enforcement of the mail rules follows section 14 of the Terms of Service. We may throttle, filter, quarantine or suspend sending without prior notice where a limit is exceeded, where our sending infrastructure or a third party reputation is at risk, or where a spam or malware complaint is received.
7. Additional rules for Sysplore Workspace
In addition to section 4:
- you must not use file sharing, public links or any other feature to distribute unlawful content or malware;
- you must not use the Service to harass any person;
- you must not share an account between individuals. Each individual must use their own account;
- you must not store or share content in which you do not hold the necessary rights.
8. Enforcement
We investigate suspected breaches of this Policy. Where we find a breach, we will ordinarily take the following steps, in order and to the extent appropriate:
- issue a warning, with a period in which to remedy the breach;
- throttle, filter or partially suspend the resources affected;
- suspend the affected Service until the breach is remedied;
- terminate the account, in the case of a repeated breach or a breach that is not remedied.
We may suspend a Service immediately, without prior notice, where that is necessary to protect our platform, another customer or the public, or to comply with law.
Where it is practicable to do so, we restore the Service once the breach has been remedied and we have received your assurance as to the steps you will take to prevent a recurrence.
If we suspend or terminate your account for a breach of this Policy, the Refund Policy does not apply.
9. Reporting abuse
To report a breach of this Policy, email [email protected] with the account or address concerned, a description of the activity, and the time at which it occurred. We review every report.
10. Copyright notices
If you believe that content hosted on our platform infringes your copyright, send a written notice to [email protected] that includes:
- your name, address, telephone number and email address;
- a description of the copyrighted work you claim has been infringed;
- a description of the material you claim is infringing, together with enough information for us to locate it;
- a statement that you have a good faith belief that the use complained of is not authorized by the copyright owner, its agent or the law;
- a statement, made under penalty of perjury, that the information in your notice is accurate and that you are the copyright owner or are authorized to act on the owner's behalf;
- your physical or electronic signature.
On receipt of a notice that complies with this section, we notify the customer concerned and remove or disable access to the material. A customer who considers that a notice is mistaken may submit a counter notification containing the same categories of information.
11. Changes to this Policy
We may amend this Policy. We publish the amended version on this page with a revised "Last updated" date and a new version identifier, and where an amendment is material we give customers of the Products at least 30 days notice by email before it takes effect. Continued use of a Service after an amendment takes effect constitutes acceptance of the amended Policy.
